Software runs the numbers. Compliance requires a professional. Zoho Payroll and Keka generate payslips. They do not sign ECR challans, respond to PF department memos, handle Form 12B on mid-year joining, or recompute TDS when an employee's investment declarations change in February. That is what we do.

Statutory deadlines

FAQ

Questions about payroll compliance.

Software generates the payslips. Compliance is what happens before and after: PF and ESI contributions computed and deposited by the 15th of each month, professional tax deducted at state-correct rates, TDS computed on correct salary components (HRA exclusions, 80C declarations, etc.), ECR challan filed for PF, and annual returns filed on time. Software cannot sign and certify returns, respond to department notices, or handle recomputation on joining/exit. That is the professional layer.
Monthly payroll computation, PF and ESI contribution calculation and ECR challan preparation, professional tax deduction at the correct state rate, TDS deduction under Section 192 with Form 12BB collection at the start of the year, and deposit challans for PF/ESI/TDS, all filed by their respective deadlines. Minimum monthly fee is ₹3,000 regardless of headcount.
PF (Provident Fund): by the 15th of the following month. ESI (Employee State Insurance): by the 15th of the following month. TDS (Section 192 salary): by the 7th of the following month (April deposits due by 30 April for the March quarter). Professional Tax: varies by state, monthly or quarterly. Missing any of these triggers interest and penalties. We track and deposit before each deadline.
PF applies to all employees earning up to ₹15,000/month basic, contributions are 12% employee + 12% employer. Employees above ₹15,000 can opt out of PF if they were not previously PF members; existing members continue regardless of salary. ESI applies to employees earning up to ₹21,000/month gross; contributions are 0.75% employee + 3.25% employer. We assess eligibility correctly on joining.
Form 16 is the TDS certificate issued to each employee by 15 June after the financial year ends. It has two parts: Part A (TDS deducted and deposited, generated from TRACES) and Part B (salary breakup, deductions, tax computation). Every employer who has deducted TDS must issue Form 16. We prepare and issue both parts for ₹299 per employee.
Joining: we collect investment declarations (Form 12BB), previous employer's Form 16 / Form 12B if applicable, and compute the correct TDS for the remainder of the year. Exit: we prepare the full and final settlement, compute leave encashment tax treatment, issue a relieving computation, and file the employee's details in the annual return. Both are included in the monthly fee for the months the employee is active.
Professional tax is a state levy, rates and return schedules differ by state. Maharashtra: ₹200/month above ₹7,500/month salary. Karnataka: ₹200/month above ₹15,000/month. Delhi: no professional tax. We handle multi-state payroll and apply the correct PT rate and return schedule for each state your employees are in. Multi-state payroll is not a flat fee, contact us for a scope call.
PF annual return (Form 3A and 6A): filed by 30 April each year covering April–March. ESI annual return: filed within 42 days of the contribution period ending (i.e., by 11 May and 11 November for the two halves). TDS annual return (Form 24Q, Q4): filed by 31 May, which also triggers Part A of Form 16. We handle all of these as part of the annual compliance cycle.
